Privacy Policy of the IHCI Society

Effective date: July 1, 2026

1 1. General Provisions

The Intelligent Human Computer Interaction Society (the "Society") values users' personal information and complies with applicable laws including the Personal Information Protection Act. The Society collects and uses the minimum personal information necessary for membership management, conference operations, payment of fees, and handling of inquiries.

2 2. Personal Information Collected

The Society collects the following personal information:

  2. 2Optional: date of birth, gender, address, organization/department, education, career, research interests
  3. 3At payment: payment records (card approval details are handled by the payment gateway)
  4. 4Collected automatically: access IP, cookies, service usage logs

3 3. Methods of Collection

Personal information is collected during membership registration and profile updates, conference registration and paper submission, payment, and email/phone inquiries, and may be generated and collected automatically during use of the Services.

4 4. Retention and Use Period

In principle, the Society destroys personal information without delay once the purpose of collection and use is achieved. However, where retention is required by applicable law, the information is kept for the relevant period.

  1. 1Member information: until withdrawal of membership (may be retained for a statutory period thereafter)
  2. 2Records of contracts, payments, and consumer disputes: up to 5 years under the Act on Consumer Protection in Electronic Commerce, etc.
  3. 3Access logs: 3 months under the Protection of Communications Secrets Act

5 5. Provision to Third Parties

The Society does not, in principle, provide users' personal information to external parties. It does so only with the user's prior consent or where required by law.

6 6. Outsourcing of Processing

The Society may outsource certain tasks, such as payment processing and email delivery, to external specialists for the smooth provision of the Services, and ensures that personal information is managed securely in accordance with applicable law.

7 7. Users' Rights

Users may view and correct their personal information at any time and may request withdrawal of consent to collection and use (membership withdrawal). Such rights may be exercised via My Page or by contacting the personal information protection officer.

8 8. Cookies

The Society may use cookies to maintain login state and improve the Services. Users may refuse the storage of cookies through their browser settings, but some Services may then be restricted.

9 9. Personal Information Protection Officer

The Society designates a personal information protection officer responsible for matters relating to the processing of personal information.

10 10. Notice of Changes

This Privacy Policy may be amended in line with changes in law, policy, or the Services, and any changes will be announced through the Services.
